Position Title: Paralegal / Administrator

Work Location: Indian Trail, North Carolina, USA
Work Schedule: Full-time, 40 hours per week


Key Responsibilities

Duties include, but are not limited to, the following:

Preparation, review, and management of correspondence and legal documents.

Maintenance of paper and electronic case files; monitoring deadlines and ensuring compliance with procedural requirements.

Conducting legal research; drafting internal memoranda; assisting clients with document preparation.

Handling minor issues and informal complaints from clients or staff.

Communication with clients, government agencies, and nonprofit partners.

Administrative support for grant-funded projects, including data collection, preparation, and submission of grant applications and reports.

Participation in office operations planning, including the development of internal instructions, standards, and policies to ensure effective workload distribution and quality control.

Tracking and managing project implementation; independently adjusting priorities in response to internal and external needs with minimal supervision.

Preparation of grant documentation and maintenance of service delivery records in accordance with grantor requirements.

Mentoring and training students and volunteers participating in the IRS VITA Program, including quality review of prepared tax returns and providing guidance on tax law matters.

Participation in mandatory compliance training; maintaining a clean, safe, and secure workplace.

Performing payroll-related functions, including collecting and verifying timesheets, calculating wages and withholdings, preparing reports, and entering data into payroll systems.

Managing tax and benefits-related forms and ensuring completeness and accuracy of all required documentation.


Education Requirements

Bachelor’s degree (or foreign equivalent) in Law or Economics.


Experience Requirements

At least 12 months of professional experience in a paralegal/administrator role or a closely related field.


Additional Requirements

Fluency in Ukrainian, Russian, and English.

Proficiency in Microsoft Office; experience with legal or tax databases is a plus.

Basic knowledge of U.S. tax law (IRS VITA experience preferred) and experience administering grant-funded projects are advantageous.

Strong attention to detail, ability to handle confidential information, and proven multitasking skills.
